Activity 1
Submission Format: Written Report and Event Design. Written concisely with headings, paragraphs and sub-sections. All work supported with research and referenced using Harvard referencing system. Word count: 1,500–2,000 words (no penalty for exceeding).

- LO2 – Examine the considerations for conference and event room set ups defining the professional standards required.
Vocational Scenario (LO1)
You have recently joined the events team at Hilton London Metropole, a large city-centre hotel and conference venue, as an Events Assistant to the Events Executive. The venue has been selected to host a two-day regional hospitality innovation summit bringing together hotel managers, suppliers, educators, tourism partners and guest speakers. Any or all of the three Ballroom suites (Kensington, Richmond and Admiral) and the Hotel's Small Meeting rooms will be available for the event if needed.
Written Report: Your manager has asked you to write a report that helps the venue team understand the diversity of the events sector, current event trends, and the operational decisions required to set up conference and event spaces professionally while adding value for clients and delegates.
Guidance: Written Report
You need to provide the following:
- Overview with examples of different categories and dimensions of events within the hospitality sector (business, social, cultural, leisure events, exhibitions, fairs, community events, hallmark events, major events).
- Discussion of different aspects of events including purpose, client type, guest profile, scale, duration, budget, technology integration, hybrid/live-streamed formats, visual and interactive technologies, and safety, security, sustainability.
- Critical analysis of current trends and developments with reference to specific examples (digital technology, hybrid delivery, live streaming, event apps, sustainability, accessibility, safety requirements).
Vocational Scenario (LO2)
A hospitality organization of your choice will attend the Regional Hospitality Summit (e.g. LCK Academy, London's Community Kitchen, or another hospitality-related organization). Get lecturer approval before starting.
Event Design: Your manager has asked you to design an event room layout for your selected organization in one part of the Hilton London Metropole conference space. Choose one purpose:
- Keynote session
- Networking lunch
- Panel discussion
- Exhibitor presentation area
Guidance: Event Design
- Explain purpose, scale and scope of the event; provide a clearly labelled image of your design layout, with details on number of stands, activities, and people the space accommodates, compared with the overall conference scale.
- Examine professional standards of your layout (room configuration, space utilization, circulation, accessibility, equipment, guest comfort, delegate experience, operational efficiency).
- Justify your design by evaluating how it meets/exceeds your selected organization's needs, referencing features such as catering, registration, signage, interpretation support, AV services, staging, lighting, digital display, internet access, specialist equipment, Wi-Fi, exhibitor support, sustainability, guest assistance.
Activity 2
Submission Format: Group Presentation. Maximum 4 people per group. Each member submits the same slide set but with their own individual reflective essay on their contribution. Word count: 1,000–1,250 words (no penalty for going under/over).

- LO4 – Explain the measures required to manage a secure and safe events environment for staff and guests.
Vocational Scenario (LO3)
Following the success of the summit planning stage, your group has been asked to brief the Hilton London Metropole's senior management team before the event goes live.
Presentation Part One – Event Management Skills: A short professional presentation critically evaluating key management roles, skills, and stakeholder-handling requirements needed for a successful event, with recommendations meeting Hilton London Metropole's requirements.
Guidance: Event Management Skills – Part One
- Breakdown of different management roles within the events industry, referencing current job opportunities relevant to the summit (event manager, conference coordinator, operations manager, banqueting manager, technical coordinator, health and safety officer, client relationship manager).
- Critical evaluation of management skills required to work effectively and meet stakeholder needs (communication, liaising with stakeholders/clients, inter-departmental relationships, briefing/supervising teams, relationship building, operational planning, budgeting, logistics, project management, problem-solving, cultural awareness, professional conduct, technical skills, proactive planning).
Include a short reflective essay on your individual contribution.
Vocational Scenario (LO4)
In Part Two, brief senior management on security and safety measures required to protect staff, guests, contractors and the venue for events in general, with specific recommendations for the summit.
Presentation Part Two – Event Management Security: Compare and contrast security and safety requirements of two events and make justified recommendations to improve security/safety of the summit.
Guidance: Event Management Security
- Explain measures required for a secure/safe venue for guests and staff (site visits, risk assessments, health and safety, food safety, room capacity checks, fire safety, equipment checks, storage controls, emergency services planning, first aid, signage, orientation).
- Compare/contrast security and safety provision for at least two event types (business conference, public exhibition, gala dinner, community event) and explain how differences affect planning/operations.
- Justified recommendations for improving security and safety at the summit, weighing benefits against costs (security checks, crowd management, evacuation procedures, contingency plans, conflict resolution, legal compliance, training, tools/equipment, briefings, safe systems of work).
Include a short reflective essay on your individual contribution.
